NE Devs ("we", "us", "our") is a community for North East England game developers. This policy explains what personal data we collect through this website and our newsletter, why we collect it, and what rights you have over it.

We are committed to complying with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR).

1. Who we are

NE Devs is a grassroots community for game developers in North East England. For the purposes of data protection law, Lewis Chisholm acts as the data controller for the personal data described in this policy.

2. What data we collect

When you sign up to the NE Devs newsletter ("Spawn Point"), we collect:

First name
Last name
Email address

We also automatically collect analytics data relating to emails we send you, including:

Whether and when you opened an email (open rate)
Whether and when you clicked a link within an email (click rate)
General delivery data, such as impressions and bounces

This analytics data is collected using standard email tracking technology (such as tracking pixels and link tracking) built into our email marketing platform.

To understand how our newsletter is performing, what content is useful to subscribers and to improve future issues.

4. How we use your data

We use your data solely to:

Send you the Spawn Point newsletter
Understand engagement with our newsletter content (opens, clicks, impressions) so we can improve it
Maintain an accurate and up-to-date subscriber list

We do not use your data for automated decision-making or profiling that produces legal or similarly significant effects, and we do not sell your data to third parties.

5. Who we share your data with

We use a third-party email marketing platform, Wix, to store subscriber data, send our newsletter, and generate the analytics described above.

Wix acts as a data processor on our behalf and processes data in accordance with their own privacy policy and data processing terms, available here.

We do not share your data with any other third party except where required by law.

6. International transfers

Wix may store or process data outside the UK. Where this happens, Wix is responsible for ensuring appropriate safeguards are in place (such as the UK's International Data Transfer Addendum or adequacy regulations). You can find more detail in Wix's own privacy policy.

7. Your rights

Under UK GDPR, you have the right to:

Access the personal data we hold about you
Rectify inaccurate or incomplete data
Erase your data ("right to be forgotten")
Restrict or object to our processing of your data
Data portability — receive your data in a portable format
Withdraw consent at any time, without affecting the lawfulness of processing before withdrawal

Unsubscribing: Every newsletter email includes an unsubscribe link. You can also ask us directly by emailing lewis@acidgamelabs.com. Once you unsubscribe, we will stop sending you marketing emails and delete your data within 30 days, except where we're required to retain a suppression record to ensure we don't email you again by mistake.

You also have the right to lodge a complaint with the UK's supervisory authority, the Information Commissioner's Office (ICO), at ico.org.uk or by calling 0303 123 1113.

8. Data retention

We retain your first name, last name, and email address for as long as you remain subscribed to the newsletter.

If you unsubscribe, or if your subscription becomes inactive for 24 months, we will delete or anonymise your data, save for a minimal suppression record kept to honour your opt-out.

Email engagement data (opens, clicks, impressions) is retained for as long as the associated subscriber record exists, for the purposes described in Section 3.

9. Data security

We take reasonable technical and organisational measures to protect your data, including relying on Wix's security measures for data stored on their platform. No method of transmission or storage is 100% secure, but we work to protect your data against unauthorised access, loss, or misuse.

10. Children

The NE Devs newsletter is intended for adults working in or connected to the games industry. We do not knowingly collect data from children under 13.

11. Changes to this policy

We may update this policy from time to time, for example if our tools or processes change. The "last updated" date at the top of this page reflects the most recent revision. Significant changes will be communicated to subscribers where appropriate.
